Customer Engagement – Document Templates & PDF File Generation

Overview

In the Dynamics 365 Customer Engagement Apps, templates can be configured to allow users to create and share PDF documents directly from entity records. In D365 Sales The capability to create PDF files is supported for the following entities: Accounts, Contacts, Leads, Opportunities, Quotes, Orders, and Invoices, on both web and mobile apps. Custom entities can be supported but are limited to the web experience and not the mobile app.

Document Templates

In the d365 Customer Engagement apps word document templates can be used to ensure that documents follow a standardized format. With one click users can generate standardized documents automatically populated with data. World templates can be applied at an organisational level, access controlled through security roles or users can create their own personal templates.

PDF Generation in Dynamics 365

Once PDF file generation is enabled on an entity, the Export to PDF button will become visible on the main toolbar to users.

Once clicked a popup will appear with a list of available PDF templates that can be generated against that entity. Users are able to select the template and can then download, email or save the document. It is important to note that documents can only be generated against a template. Templates are available out of the box for the Account, Opportunity, Order, Quote, and Invoice entities. For entities that don’t have out-of-the-box templates, you can create new templates. You can’t create a PDF file for an entity record if there’s no template available for that entity.
